A clear service-scope checklist for HVAC jobs

Ambiguous scope creates callback disputes. Capture what is included, what needs a replacement quote, and what evidence the customer will receive before the tech rolls.

Typically included

  • Diagnostic in the quoted window when access is available
  • Capacitor, contactor, or filter work when parts are on the truck
  • System type, model, and photos attached to the job
  • After-hours trip fee quoted before the tech rolls
  • Written notes on refrigerant, compressor, or replacement follow-up
  • Confirmation sent while the tech is still on site

Usually separate

  • Full system replacement and dump fees unless listed
  • Duct redesign, insulation, or indoor air upgrades
  • Electrical service upgrades outside the HVAC license
  • Permit packages and inspection fees unless listed
  • Warranty claims that need manufacturer authorization first
